What we collect
- When you contact us: your name, email address, phone number and whatever you choose to tell us in your message.
- When you become a client: the information needed to do the work and to meet our legal obligations - which includes identity documents and proof of address required by anti-money-laundering law, your tax references, and your financial records.
Why we use it, and our lawful basis
- To answer your enquiry and quote for work — because you have asked us to, and it is in our legitimate interests to respond to enquiries.
- To carry out the work you engage us for — performance of our contract with you.
- To meet our obligations under anti-money-laundering and tax law, and to keep the records those laws require — legal obligation.
Who we share it with
We share your information with HMRC and Companies House where filing on your behalf requires it, and with the software and IT providers we use to run the practice, who act on our instructions. We do not sell your information to anyone, and we do not use it for marketing by anyone other than us.
How long we keep it
Client records are kept for at least six years after the end of our engagement, which is what tax and anti-money-laundering law requires. Enquiries that do not become engagements are deleted within twelve months.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it if it is wrong, ask us to delete it, or object to how we are using it. Some of these rights are limited where we are legally required to keep records. Email info@rstaccountants.co.uk and we will respond within one month.
If you are not happy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
